UPP2
Virtual Event Case Study

UPP [UTM Pilot Program] is the Federal Aviation Administration’s partnership with industry leaders. It’s purpose: to test and evaluate technologies, standards, and procedures that will allow low-level aircraft to safely share airspace.

The Challenge

The UPP phase 2 in-person flight demonstration was canceled due to COVID-19 restrictions. To communicate program progress, UPP2 would need to go virtual.

The Solution

In a few short weeks we quickly coordinated across many departments to stage a virtual event. Media was collected and speakers were interviewed as the online event platform was created.

Media: How to leverage existing photos, video, and charts
We worked with the team to understand the work that had already been done in anticipation of the in-person event. All the media was swiftly adapted to our new virtual format.

Speakers: How to repurpose live speakers to a virtual format
Some speakers would go live on event day while others could be pre recorded. This “simulive” approach worked because it’s often indistinguishable if someone is recorded during a virtual event.
+ We shipped high quality sound recording equipment and helped them set it up
+ We instructed speakers on how to position their cameras and what background and lighting would look the best.

Video Service: How to make the most out the platform
Based on years of production experience, we adapted the customer’s video sharing service to function as a virtual control room. This created simultaneous video conference calls: a front-facing feed that the attendees would see and a second ‘behind the scenes’ feed for our staff and speakers. This innovative approach helped presenters focus on their speaking role, leaving the technical details to us.

Polished presentation: How to bring it all together
UPP is a deeply technical project, rife with engineering language and interdependent stakeholders. Our story structure engaged the audience by artfully framing the topic and illuminating the reason for the technology. A polished graphics package tied it all together into a professional presentation that inspired as it informed.

The Outcome

The virtual event was an unqualified success: an engaging and accessible experience that inspired our attendees as they learned more about UPP2.

+ We removed pressure from the customer so he could focus on the big picture.
+ We made it easier for the staff and communications team.
+ We maximized the event speaker’s impact.

The virtual event format reached more busy people that an in-person event ever could. Beyond that, the event video recording was repackaged and made available online, lengthening the impact of the initial investment.

Most importantly, the professional and polished presentation impressed management and industry alike.
